1. Overview

At Odento, we strive to provide the best dental practice management solutions. This Refund Policy outlines the terms and conditions for refunds on our subscription services, platform fees, and other charges.

2. Subscription Services

2.1 Free Trial Period

  • We offer a 14-day free trial for new users
  • You can cancel anytime during the trial period without any charges
  • After the trial period, you will be automatically charged unless you cancel

2.2 Monthly Subscriptions

  • Cancellation: You can cancel your monthly subscription at any time
  • Refund Eligibility: Refunds are available within 7 days of the initial charge only
  • No Partial Refunds: We do not offer pro-rated refunds for unused time
  • Access: You will retain access until the end of your current billing period after cancellation

2.3 Annual Subscriptions

  • Refund Window: Full refund available within 30 days of purchase
  • Pro-rated Refunds: After 30 days, refunds are pro-rated based on unused months
  • Processing Time: Refunds are processed within 10-14 business days

3. Platform Fees

3.1 Dental Lab Order Fees

Platform fee of ₹20 per lab order is non-refundable once the order has been:

  • Confirmed and sent to the dental lab
  • Work has been initiated by the lab
  • More than 24 hours have passed since order placement

Refund Eligible: Orders cancelled within 24 hours and before lab confirmation are eligible for full refund.

3.2 Communication Fees (SMS/WhatsApp/Email)

  • Unused notification credits are non-refundable
  • Credits do not expire and can be used at any time
  • Failed deliveries will be automatically credited back to your account

3.3 Event Management Fees

  • Platform fee of ₹10 per attendee is charged after event completion
  • Refunds available if event is cancelled at least 7 days before the scheduled date
  • No refunds for events cancelled within 7 days or after the event

4. Payment Gateway Fees

Payment gateway fees charged by third-party processors (e.g., Razorpay, PayU) are non-refundable. When processing a refund, gateway fees will be deducted from the refund amount.

Example: If you paid ₹1,000 with a gateway fee of ₹20, your refund will be ₹980.

5. Odento Plans (Dental Insurance)

5.1 Cooling-off Period

  • Full refund available within 15 days of plan purchase
  • No claims should have been made during this period
  • Processing fee of ₹100 will be deducted

5.2 After Cooling-off Period

  • No refunds available once claims have been made
  • Annual plans can be cancelled with no refund after the cooling-off period
  • Unused benefits do not carry forward or qualify for refunds

6. Neurax AI Services

Neurax AI RAG engine and related services:

  • Charged separately from core Odento platform
  • Refunds available within 7 days if usage is less than 10% of purchased quota
  • Consumed API credits are non-refundable
  • Monthly subscriptions can be cancelled with no refund for unused time

7. Refund Process

7.1 How to Request a Refund

  1. Email us at refunds@odento.com
  2. Include your order number, account email, and reason for refund
  3. Provide any supporting documentation if applicable
  4. Our team will review your request within 2-3 business days

7.2 Processing Time

  • Approval: Refund requests are reviewed within 2-3 business days
  • Processing: Approved refunds are initiated within 5-7 business days
  • Bank Transfer: Refunds may take 7-14 business days to appear in your account depending on your bank

7.3 Refund Method

Refunds will be processed to the original payment method used for the purchase. If the original payment method is no longer available, we will work with you to arrange an alternative refund method.

8. Non-Refundable Items

The following are strictly non-refundable:

  • Downloadable content and digital products once accessed
  • Custom development or consulting services once delivered
  • Third-party integrations and API usage fees
  • Training sessions and webinars once completed
  • Domain registration and SSL certificate fees
  • Data migration services once completed

9. Chargebacks

If you file a chargeback with your bank or credit card company without contacting us first:

  • Your account will be immediately suspended
  • You may be liable for chargeback fees (₹500-₹1,000)
  • We reserve the right to pursue legal action for fraudulent chargebacks
  • Please contact us first to resolve any payment disputes

10. Changes to Refund Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. Your continued use of our services after any changes constitutes acceptance of the new policy.
